Position Title: Coordinator, Procurement and Logistics

Position Description: 

The procurement and logistics coordinator is responsible for executing processes and projects that procure goods and services for the agency, and putting those goods and services to use.

 

Specific Position Responsibilities:

·         Reviews and updates process and project plans related to their work

·         Works with other coordinators to ensure cross-training in all functions

·         Monitors self-performance and performance of the team via reports and adjusts work accordingly

·         Executes process and project plans as assigned

·         Partners with program teams to plan procurement needs and ensure that those needs are moving through all relevant processes

·         Partners with program teams to provide planning, logistic, and budgetary support for events

·         Serves as a subject matter expert for specific parts of the division’s work

·         Provides other operational support to the agency as requested.

 

Knowledge, Skills, and Abilities Required:

·         Strong attention to detail

·         Ability to work on multiple projects at once in a fast-paced environment

·         Proficient in Microsoft Office (Word, Excel, Power Point, and outlook)

·         Proficient in Microsoft SharePoint

·         Proficient in online survey tools

·         Strong written and oral communication skills

·         Ability to take initiative and be proactive in solving problems, and to work in a fast-paced environment balancing multiple ongoing projects at the same time

Position Summary: The Finance team is seeking a Finance Director to support the foundational work within the Division of Finance. The division is responsible for agency-wide budget, grants management, local finance, internal operations, and procurement.

The Finance Director will be responsible for creating and maintaining agency-wide budgets. This includes division and project specific budgets, grant budgets, and agency-wide budgets. They will also be responsible for providing ongoing technical assistance to internal teams on all budget related topics.

 

Minimum Qualifications:

Education and Experience: Possession of a Bachelor’s degree from an accredited college or university and experience equivalent to substantial (five or more years of) full-time professional educational or instructional work, including at least two years of supervisory/administrative or advisory work.

Substitution of Education for Experience: Graduate coursework from an accredited college or university may be substituted for the required experience, on a year-for-year basis, to a maximum of two years, there being no substitution for the required two years of specialized experience.

• Or, one year of experience as an Education Consultant 2 with the State of Tennessee.

Essential Functions

• Providing exceptional customer service to internal stakeholders, including working with teams to create budgets and providing ongoing technical assistance through both formal and informal channels.

• Performing internal reporting on budget statuses, including regular updates on spending and budget variances.

• Continuously improve process of internal reporting in consultation with the Chief Financial Officer and in service of program stakeholders and Department leaders to ensure quality implementation of programs and services to the field

• Reconciling multiple data systems to ensure data and financial accuracy.

• Facilitates conversations with the Department of Finance and Administration regarding agency-wide budget matters.

• Prepare budget related documentation for external stakeholders as business needs require.

• Advanced skills in Microsoft Excel (Can readily use lookups and pivot tables, chain multiple formulas together to achieve outcome)

• Basic knowledge of Microsoft SharePoint preferred

• Experienced in online survey tools

• Ability to write clearly and succinctly in a variety of communication settings and styles

• Strong oral communication skills

• Strong analytical and critical thinking skills

• Meticulous attention to detail and exceptional organization

Work Environment

The duties will primarily be carried out indoors, in environmentally controlled conditions. The employee will be required to perform general physical abilities and handle and move objects.

 

Physical Demands

Physical demands include walking, standing, bending, lifting, climbing stairs, and moving during working hours.

Position Type and Expected Hours of Work

This is a full time position. Expected work hours are 37.5 hours per week, from 8-4:30pm with an hour lunch break.

Position Summary: The manager of procurement and logistics is responsible for developing, documenting, and executing processes and projects that instruct the work of procuring goods and services for the agency, and putting those goods and services to use and ensuring that all procurements meet compliance requirements set forth in state and federal law.

Minimum Qualifications:

Bachelor’s degree in a related field

3-5 years of related experiences

Essential Functions

• Writes and maintains process and project plans that collectively capture the work of the division

• Calculates benchmark measures for the work of the team

• Creates reports that display team performance against goals

• Creates reports of procurement data for the benefit program teams

• Executes process and project plans as assigned

• Assigns procurement requests to members of the procurement team

• Partners with program teams to plan procurement needs and ensure that those needs are moving through all relevant processes

• Partners with program teams to provide planning, logistic, and budgetary support for events

• Leads the creation of an average cost menu of agency expenses to be maintained by the team

• Partners with the senior director on the creation and implementation of a vendor management program

• Assists the senior director with hiring, onboarding, and training of new staff members as needed

• Serves as a subject matter expert for specific parts of the division’s work

• Managing the use of SharePoint in the division for knowledge management and web-based collaboration

• Providing other operational support to the agency as requested.
