Recommended Plotting Workflow Procedures

Revised: July 8, 2016

IMPORTANT:

When the above steps have been completed, please proceed to the instructions below:

(If you are unsure how to proceed with the following steps, please contact CADD Support, your office IT staff or submit a Remedy helpdesk ticket.)
  1. Connecting to Printers/Plotters on new print servers:
    • Users must remove old plotters (which will be ghosted) and add to the newly named plotters - To connect to the plotters in your region/office, you will need to go to the Start menu. Once there type the appropriate dialog to access your plotters for your region/office:
      • Headquarters: \\HQPRINT
      • Region 1: \\R1PRINT
      • Region 2: \\R2PRINT
      • Region 3: \\R3PRINT
      • Region 4: \\R4PRINT
    • Once you have found the plotter you want to connect to, right-click and select Connect... to connect to the plotter. Do this for each plotter you need connected.

PURPOSE

This document provides instructions for a new plotting workflow for full size design files when using Projectwise Interplot Organizer and IPLOT within MicroStation to match current needs and standards.

CURRENT VERSIONS OF APPLICATIONS THAT USE SETTINGS FILES

  • IPLOT in MicroStation V8i Select Series 2 (08.11.07.443)
  • Projectwise Interplot Organizer V8i Select Series 2 (08.11.07.420)

HISTORY

The plotter migration to the new 2008 Windows servers changed the print server names and plotter names found hardcoded within each *.set file. In most cases, there are many settings files for each plotter queue. Interplot settings files (*.set) are located on users’ computers in the following directory:

C:\Users\Public\InterPlot Standards\Settings

The hope is to streamline the process of creating/updating these files and plotter queues, as well as, providing users with better performance and adherence to current plotting standards. This is also important for changes that will be occurring soon to the plotter queues:
  • Renaming of current plotter queues to match current IT policies (as soon as possible)
  • Xerox 6050s will be replaced with new plotters (planned for Fall 2016)
    • New plotter names

BENEFITS OF NEW PLOTTING WORKFLOW

By creating PDF settings files this provides the following solutions:
  • Removes dependencies found in current settings files by being hardcoded to specific plotters
  • Users have more flexibility to print and plot by allowing them to select their device
  • When instructions are followed, they provide a more consistent printed product with the correct scales
  • Less to manage and maintain – all regions/offices get the same settings files
    • This should also reduce the number of plotter queues on the print servers
  • Creation of digital copy of every full size sheet to be stored on network
  • When instructions are followed, full size PDF can be scaled down to half size for printing to printers – faster and less expensive than printing to plotters; potential to reduce the number of plotters by replacing with additional printers for additional cost savings

BASIC STEPS FOR NEW PLOTTING WORKFLOW

CREATING PDFS USING PROJECTWISE INTERPLOT ORGANIZER

Note that these instructions are for SS2. For those testing SS4, please let us know if these instructions do not work for you.

CREATING PLOT JOBS IN PROJECTWISE INTERPLOT ORGANIZER
Note that you can still create plot jobs with one or more design files.
  • Go to Start ► All Programs ► Bentley ► ProjectWise InterPlot Utilities ► ProjectWise InterPlot Organizer
  • Once InterPlot Organizer is opened, a dialog box appears. Click Cancel.

  • Before creating any plots, Go to File ► Printer Setup and select the appropriate full size plotter queue then click on OK when you are finished.
  • For full size design files
    • Go to File ► Create Plots to begin adding to Organizer.

      • Under Plot creation options, click Browse. Note: the setting file you choose must be full size.
        • All users:
          • PdfEnglishful.set

  • Click OK when finished.
    • A dialog box pops up about applying common section to the plot set. Click Yes to continue. (This only happens when one of the current settings files are used because of the plotter queue path hardcoded in the settings files.)
  • Your screen should look similar to the following:
Note the Scale is 50:1. The scale will vary depending on the sheet type but the ratio should match the text scale on the added sheet when opened in MicroStation.
  • For full size cross sections (XS)
    • Click Yes at the dialog box.
      • To add cross sections, go to File ► Create Plots to begin adding to Organizer or click to Create Plots button:
  • Click Add to add files and select the cross section files.

  • The same procedure with cross sections as with the design files, except with cross section settings. Note: The setting file you choose must be full size.
    • All Users:
      • PdfEnglishXSFul.set
  • Click OK when finished.
  • A dialog box pops up about applying common section to the plot set. Click Yes to continue.
  • Your screen should look similar to the following:

Note the Scale is 50:1. The scale will vary depending on the sheet type but the ratio should match the text scale on the added sheet when opened in MicroStation.
EXPORTING TO PDF FROM PROJECTWISE INTERPLOT ORGANIZER
  • Go to File ► Export PDF to created PDFs, or click the Export PDF button
  • A Export PDF dialog box appears.
  • From here, under the Creation option, there are two ways to create a PDF
    • If you just want a simple set of plans with roadway, cross section, etc., all in one, then select the first option.

  • If you are preparing plans for the manager to electronically sign, then you should select the second option. This selection will create a PDF for each individual sheet that has been added to Projectwise Interplot Organizer. NOTE: As a courtesy to the manager and others viewing the files, your files should be in order and named correctly before proceeding.
  • Click on Create PDF.
  • Next, if you want the PDF to immediately open after processing the sheet files, check the Invoke PDF viewer when done. If not, then uncheck. NOTE: if you are creating separate sheets for them to be digitally signed, uncheck this option. Depending on how many files you are converting to PDF, the program could crash.
  • Click on Create PDF.
